MedSpa Automations Policy

1. Introduction

These Terms and Conditions (“Agreement”) govern your use of the services, software, and technology provided by MedSpa Automations (“Company,” “we,” “us,” or “our”). By using or accessing our services, you (“Client,” “you,” or “your”) agree to be bound by the terms and conditions set forth herein. This Agreement applies to all products and services developed, maintained, and operated by MedSpa Automations, including but not limited to chatbot systems, CRM software, reputation management tools, messaging and communication platforms, and other related services (collectively, the “Services”).


This Agreement, along with our Privacy Policy, outlines the legally binding terms and conditions that govern your use of the Services. Please read this Agreement carefully. If you do not agree to any of the terms, you should not use the Services.

Scope of Services

MedSpa Automations provides AI-driven chatbot services, CRM tools, and marketing automation software specifically designed for Medical Spas. Our goal is to help businesses enhance customer communication, streamline internal workflows, and improve client engagement through conversational AI and automation.

Our AI-powered chatbots are integrated into your business website and social media channels to facilitate automated appointment scheduling, lead generation, and customer support. These chatbots are customizable to align with your brand’s voice and operational needs.

The CRM platform offers robust tools for managing customer relationships, tracking communication history, and automating marketing workflows. Clients can use our CRM to manage customer interactions, send automated follow-up messages, and monitor performance metrics.

We provide messaging and communication solutions that allow you to connect with your clients via SMS, email, social media, and web-based channels. These tools are designed to enhance client engagement, nurture leads, and support ongoing communication.

MedSpa Automations offers tools to manage and improve your online reputation, including automated review requests, feedback collection, and reputation monitoring services. These tools help Medical Spas maintain a strong digital presence.

Our CRM and chatbot systems may include payment processing capabilities to facilitate seamless transactions for services offered by your Medical Spa. Payment processing features are provided in partnership with third-party financial institutions.

Account Setup and Access

Clients must provide accurate and complete information during the account setup process. Each Client is responsible for maintaining the confidentiality of their account credentials, including usernames and passwords, and for all activities that occur under their account. Clients agree to notify MedSpa Automations immediately if they become aware of any unauthorized access or use of their account.

Payment Terms

Clients agree to pay all fees associated with the chosen service plan in accordance with the payment schedule outlined at the time of registration. Our standard monthly fee for the CRM service is $797 per month unless otherwise specified in a separate written agreement. Payment is due on the first day of each month and will be automatically processed through the payment method provided by the Client. Payments can be made via credit card, debit card, or other approved payment methods. Clients must keep their billing information up-to-date at all times. Failure to maintain valid payment information may result in suspension or termination of access to the Services. If a payment is not received by the due date, MedSpa Automations reserves the right to charge a late fee of 5% of the total amount due, and service access may be suspended until the outstanding balance is settled.

All fees are non-refundable. We do not offer refunds for any reason, including unused Services or partial use during a billing cycle.

Service Termination

Clients may terminate their subscription at any time by providing a 30-day written notice to MedSpa Automations. Upon termination, the Client’s access to the Services will be discontinued at the end of the current billing cycle.

MedSpa Automations reserves the right to suspend or terminate a Client’s access to the Services, without notice or refund, if we determine that the Client has violated any provision of this Agreement or engaged in any unlawful or prohibited activities.

Client Obligations

Clients agree to use the Services in compliance with all applicable local, state, and federal laws and regulations. This includes ensuring compliance with data privacy laws and regulations related to client communications and record-keeping.

Clients retain ownership of all data entered into the Services, including customer information, communications, and business records. Clients are responsible for the accuracy and legality of all data provided. MedSpa Automations will not be held liable for any errors or legal issues arising from the use of Client data.

Data Privacy and Security

MedSpa Automations processes personal data as part of providing the Services in accordance with our Privacy Policy. We implement reasonable security measures to protect the confidentiality and integrity of all personal information collected.

MedSpa Automations retains personal data for as long as necessary to fulfill the purposes outlined in this Agreement and as required by law. Clients may request deletion of their data by contacting support, subject to applicable legal and contractual restrictions.

Confidentiality

MedSpa Automations and the Client agree to treat all confidential information shared between the parties as private and proprietary. Neither party shall disclose confidential information to any third party without prior written consent, except as required by law.

Limitation of Liability

To the maximum extent permitted by applicable law, MedSpa Automations LLC shall not be liable for any indirect, incidental, or consequential damages arising out of or in connection with the use or inability to use the Services. Our liability shall be limited to the total fees paid by the Client in the 12 months preceding the event giving rise to the claim.

Governing Law and Dispute Resolution

This Agreement shall be governed by and construed in accordance with the laws of the State of Ohio. Any disputes arising out of or in connection with this Agreement shall be resolved in the state and federal courts located in Cincinnati, Ohio.

Changes to This Agreement

MedSpa Automations may update or modify this Agreement at any time. Clients will be notified of any significant changes, and continued use of the Services after such modifications will constitute acceptance of the new terms.
